Pluriell allows you to invoice your services on a time and materials basis directly from your project schedule.
To perform this operation, you need to be familiar with the following prerequisites:
If you have never performed these steps, we invite you to read the corresponding articles and implement them on a test project.
Step by step
-
Create a phase dedicated to time and materials called, for example, "Time and Materials Services."
-
Edit the schedule: in the type of the created phase, choose "Time and Materials" and indicate the hourly rate.
-
When entering your time and materials services, select the created phase above.
-
Invoice this phase by checking the corresponding line and create a draft invoice by clicking "Invoice Selection."
-
In the created invoice, a line will include all hours of time and materials that have not yet been invoiced. Edit the selection of services to be invoiced by clicking "..."
-
Check/uncheck the services you want to include in this invoice. Validate your selection by clicking import.
You can invoice time and materials hours on multiple invoices if needed. In the next billing cycle, all unreleased time and materials hours will be available for invoicing. The total amount of the "Time and Materials Services" phase will automatically adjust after each entry.
We strongly recommend having a dedicated phase for the allocation of your time and materials. This will provide more details in the financial analysis of your project and an automatic total of the relevant hours.
Setting the hourly rate
The time and materials hourly rate can be entered in the schedule, at the level of the line of the "Time and Materials Services" phase created above.
To change the rate, edit the schedule by clicking "Edit" and enter the desired value. It will be taken by default on invoices incorporating time and materials.
You can also edit this amount directly in the invoice if you have variable time and materials rates.
Invoice without a linked phase
If you prefer, you can directly create an invoice without a linked phase. This method is faster, but you won't have the overview and financial analysis provided by the version with a linked phase, such as the totalization of all project time and materials hours.
To do this, create a new invoice, and in the line of the item to be invoiced, check the "Time and Materials" box. Then complete the hourly rate and VAT rate. Next, select the relevant services as described above and import them into the invoice. Continue with the validation of your invoice as usual.
Useful tips : The phase linked to time and materials hours will appear in the schedule as a supplement.
